MEETING MINUTES ARCHIVE
Minutes from February 9, 2009 – Conrad Library – 6:00 P.M.

Meeting was called to order at 6:10 p.m. by Buck Simpers.
Website – Harry Rogerson
> Over 300 registrants
> Actual meeting dates will be posted – Principal Pruitt to verify school year and get actual dates to Harry
> Harry posed the question as to whether we should publish a listing on the website of names of all registrants because he’s had inquiries about who has joined and how they can be contacted. Harry’s been the go-between.
> Might generate new registrants if there was a listing – “people breed people”
> Issues around privacy
> What should be listed – name, class, e-mail address or phone number?
> A motion was made, seconded and carried to have Harry contact those already registered to have them decide to opt in or out and also add a statement on the registration form so that going forward registrants can indicate their preference.
Fundraisers
License plates – Mary Ellen (Dailey) Vitsorek
> 23 purchased to date
> CHS 78 up for resale
> Brick Pavers – Faith Carter Simpers
> 24 purchased to date
> Only 6 more and we can order and start the installation process
> A request has been made to post a copy of the location schematic on the website
> Buck will furnish Harry with the schematic
> Harry made CDs that include all Conradian Yearbooks from 1937-1978, Conrad Band music and 2008 Homecoming Day Pictures. A motion was made and carried to make these a new fundraiser (for a contribution).

Current balance in account as of February 9, 2009 - $2,139.62 – no disbursements
Old Business
Committee Volunteers – Discussion around how to get participants on committees and which committee(s) should receive the most attention at this point?
> Committees are listed on the website
> Events – school and alumni
> Fundraising

> Publicity/Communications
> Recognition
> It was determined that Membership Committee should have highest priority at this stage. How do we recruit new members/registrants?
> Harry will prepare two separate email flyers to be sent out
> One flyer to be sent to the list of actual registrants asking them to sign up to chair a committee and/or sign up for a specific committee
> One flyer with more information (i.e., we’re here; we’re actively working on specific issues; we have a website; we need members, etc.) will be emailed to the extensive list of names from the school – Principal Pruitt will forward to Harry.
> Gail will help Harry with the flyers.
> Copies of the flyers should be available for distribution at Class of 1959 and Class of 1960 scheduled reunions and any other venues that will generate new registrants.
> Goal is to have committee chairs and members in place by our May 18 meeting.
501(c)3 Investigaton – Kris Fletcher
> Need to establish a Post Office Box for address
> Need to acquire EIN Number
> Kristin will prepare proper paperwork and file for us
Accredited Alumni Associations – Connie (Nichols) Marro – Connie researched and could not find any listings
PTO General Meeting (January 8) – Jim Hudson attended the meeting and previously distributed minutes from the meeting.
New Business
Requests have been received from various PTO committees to have an Alumni Association member attend their meetings:
> PTO Midnight Madness Committee – Jim Hudson attended the February 24 meeting and distributed minutes from the meeting. Principal Pruitt elaborated on the project and the need for volunteers. Discussion around how Alumni Association can help.
> PTO Athletic Boosters – Fourth Thursday of the month - Thursday, February 26. Geri will contact former alumni athletes to get volunteers to attend. Ozzie volunteered to attend as well.
> PTO General Meeting - Thursday, February 26 at 7:30 p.m. in the School Library – Jim Hudson will attend.
Harry suggested we create and send out a newsletter. This was partially discussed along with the website flyer discussion; tabled for further discussion at a future meeting.
Principal Pruitt Reports
Homecoming –
> Date has been set – October 24, 2009
> PTO started preliminary work for Beef and Beer on October 23
Student Pride Day –
> some time late April, early May, on a Friday
> students, parents and alumni to work on sprucing up the school
> hopefully, we will have sold enough bricks to have them installed at the same time?
